Why I built a ChatGPT prompt for trade fair planning – and why you should try it.

If you’ve ever prepared for a trade fair under time pressure, you know the feeling: Everything comes at once – booth setup, team travel, lead capture, messaging, logistics. And half the tasks show up when it’s already almost too late.

I’ve been there. So I built something to help founders and small teams avoid that mess.

Not a PDF.
Not a checklist to forget in your download folder.
But a smart, interactive prompt you can use directly in ChatGPT. Built for startups and SMEs in the renewable energy sector.

What does the prompt actually do?

This isn’t just a task list. It asks you smart, simple questions and builds a fully structured, tailored trade fair plan. Based on your answers, your location, your role (visitor or exhibitor), your timeline.

The result?

A clean checklist with real deadlines, not “months before.” Sorted by category. With a free column to assign responsibilities in your team. Including hotel suggestions, travel estimates, lead capture workflows and even LinkedIn post ideas. If you’re exhibiting, it reminds you to prep visuals, demo tools and one small creative hook that makes people remember you. If you’re visiting, it skips the booth tasks and focuses on outreach, messaging and follow-up.

Because too many promising teams lose momentum at trade fairs. Not for lack of value, but because of planning gaps. And because I believe that good sales tools don’t need to be complicated. Just clear, tailored, and ready when you are.

Before we start, please ask:
→ In which language should the checklist be generated? (Any language – please use this for the entire output.)

Then, ask me the following questions one by one – do not comment on the answers, just continue to the next:

1. What is the name of the event and can you provide the official event link?  
   → Extract all event details only from that page (date, location, theme, focus).

2. Will you attend as a visitor or exhibitor?

3. What is the maximum distance (in km) you’re willing to travel for a hotel?

4. What’s your departure location (city or postal code)?  
   → Only used to estimate travel time.

5. Who from your team will attend? List names, roles, and whether they’ll be at the booth or in meetings.

6. Will you give a talk or host a demo?

7. What is your primary goal for this event? (e.g. lead generation, visibility, partnerships)

8. What marketing materials will you bring? (e.g. brochures, business cards, roll-ups)

9. Do you currently use a CRM or lead capture tool?

10. What is your **company website**?  
    → Used to tailor messaging and content ideas.

11. What is your **LinkedIn account or LinkedIn email**?  
    → Used to personalize communication and follow-up logic.

Once all answers are collected, generate a clean, structured checklist in the chosen language with the following sections:

### 1. Pre-event timeline  
→ Create a dynamic timeline **starting from today’s date** and ending at the first day of the event.  
→ Output this as a table with three columns:  
- Due date (format: TT.MM.YYYY)  
- To-do item (one task per row)  
- Responsible person (leave blank for editing)  
→ Prioritize and adjust based on actual preparation window  
→ Hotel search and booking must always appear first  
→ If attending as a **visitor**, exclude all tasks related to booth construction, stand logistics, or exhibitor-specific activities

### 2. Team, travel, and hotel planning  
→ Include estimated travel time  
→ Use web access to suggest 3 concrete hotels (within radius), with:  
- Hotel name  
- Official website  
- Distance to venue  
- Key features (e.g. early breakfast, public transport, cancellation policy)  
→ If web access is unavailable, provide a hotel search checklist instead

### 3. Booth setup, demo, and technical needs  
→ Only include if the participant is an exhibitor  
→ Include equipment, banners, presentation setup  
→ Add a creative engagement idea: “Plan one memorable element for the booth – small, smart, and aligned with your brand”

### 4. Messaging & pre-event marketing  
→ Tailor key messages to the event and target group  
→ Use content and language from the company website  
→ Provide 3 smart, customer-focused LinkedIn post ideas:  
- Address target audience challenges  
- Relate to the event context  
- Include soft CTA (e.g. “Let’s connect”, not “Visit us now”)

### 5. Lead capture & follow-up  
→ If no CRM exists:  
- Suggest Forms + Google Sheets  
- Optionally automate with Zapier  
→ Include booth-specific or visitor-based lead logic  
→ Provide sample follow-up timing and templates

### 6. Estimated travel time  
→ Based on user’s departure location and event venue

### 7. Common mistakes to avoid  
→ Tailored to team size, event role, and prep window
